A tomato travels from a farm gate through an aggregator, a transporter, a wholesale market, a distributor, and a retailer before anyone eats it. At every handoff, three things degrade: the tomato, the information about the tomato, and the margin. Post-harvest losses in fresh produce supply chains are commonly estimated at 20 to 40 percent in emerging markets, and a large share of that is not biology. It is coordination failure: trucks dispatched late, cold rooms at the wrong temperature, demand signals that never reach the farm.

What features you actually need

Vendors in this space love the word platform. Focus on the workflow instead.

  1. Lot-level identity from the first transaction. If produce is not identified at the farm gate, nothing downstream can be traced. Everything else builds on this.
  2. Mobile collection center tooling: farmer lookup, weighment entry (ideally integrated with digital scales), grading, and a printed or SMS receipt. It must work offline and sync later.
  3. Payments and ledger: what is owed to which farmer, advances, deductions, and settlement records. Trust in the chain lives here.
  4. Inventory by location and lot across collection centers, warehouses, and cold rooms, with age tracking so the oldest stock moves first.
  5. Transport tracking, even if it starts as simple trip status updates before graduating to GPS and temperature telemetry.
  6. Quality and compliance records attached to lots: certificates, residue tests, grading photos.
  7. Role-based views: a farmer, a collection agent, an operations manager, and a buyer need entirely different screens over the same data.

Blockchain comes up constantly in traceability conversations. In most real deployments, a well-designed database with signed, immutable audit logs delivers the same trust at a fraction of the complexity. Be skeptical of anyone leading with the ledger rather than the workflow.

Typical cost ranges

SaaS traceability and supply chain tools for agrifood typically run from a few hundred to a few thousand dollars per month depending on volume, sites, and users. IoT cold chain monitoring adds hardware (loggers commonly cost tens of dollars per unit) plus per-device subscription fees.

Custom builds vary widely with scope. A focused procurement and payments system for an aggregator typically falls in the 20,000 to 60,000 dollar range with an experienced team. A fuller farm-to-shelf platform with traceability, cold chain integration, and buyer portals is usually a phased program starting from 50,000 dollars and growing with each phase. Off-the-shelf works when your chain is simple and standard: one commodity, few handoffs, and no unusual payment or grading logic. Certification-driven traceability for export, in particular, has decent SaaS options.

Aggregators, farm-to-fork brands, and exporters competing on reliability usually find that their procurement rules, farmer relationships, grading standards, and payment terms are exactly what differentiates them, and generic tools flatten that difference. Integration pressure also pushes toward custom: weighbridges, ERPs, banking APIs for farmer payouts, and buyer EDI rarely line up with a SaaS vendor's roadmap.

A sensible sequence: digitize procurement first, because that is where data enters the chain and where trust is won. Add traceability and cold chain visibility on top of clean procurement data, not before it.

The returns stack in three layers. First, shrink: even a few percentage points recovered from spoilage and theft on meaningful volumes typically pays for the system within a season or two. Second, price: traceable, certified produce commands premiums in export and organized retail channels that untracked produce cannot access at all. Third, capital: lenders and insurers price risk lower when a chain can show its data, which matters enormously for working-capital-hungry agribusinesses. None of these require heroic assumptions, only that the data exists and is trusted.
