The gym business has a brutal open secret: acquisition is easy in January and retention is hard all year. The retention layer

Automated journeys: a welcome sequence for new joiners (the first 90 days largely decide lifetime value), an alert to staff when a regular's attendance drops, a win-back message before a lapsed member's renewal date, a nudge to the member who has been coming but never tried a class. The honest shortlist for most gyms and studios:

- Member self-service: join, book, freeze, and update payment details without calling the front desk.
- Class booking with waitlists and no-show handling.
- Attendance tracking tied to member records.
- Attendance-decline alerts and automated retention messaging.
- Lead management for trials: capture, follow-up sequences, and conversion tracking, since trial-to-member conversion is the top of the whole funnel.
- Clean reporting: churn rate, lifetime value, class fill rates, revenue per member.
Commonly oversold: white-label member apps (nice, rarely decisive for a single site), workout content libraries, and wearable integrations, unless coaching content is genuinely your differentiator.

For a single gym or studio, buy. The SaaS market here is one of the more mature in local business software, and your problems are operational discipline more than tooling.
Build when one of these holds: you operate multiple locations or a franchise and need consolidated reporting and custom workflows the platforms charge heavily for or do not offer; your model is unusual (hybrid coaching and classes, corporate wellness contracts, pay-per-visit networks); per-location subscription and payment margins have compounded into serious annual money; or you want to own the member relationship and data fully, including a branded app experience that off-the-shelf white-labels do not match. Multi-site operators frequently find the crossover point at five to ten locations.
The ROI arithmetic
Retention math makes this concrete. Take a gym with 800 members at an average of 50 dollars a month. Annual churn at 40 percent means replacing 320 members a year. If attendance-decline alerts and automated journeys cut churn by just five percentage points, that is 40 members retained, roughly 24,000 dollars in annual recurring revenue preserved, against software costs that are a fraction of that. Add recovered failed payments, better trial conversion from systematic follow-up, and fuller classes from waitlist automation, and the system is not a cost center.
