The license fees keep arriving anyway.

Low-code databases and workflow tools can take a factory surprisingly far. They shine as an intermediate step and for edge processes. Their limits arrive with volume, concurrency, barcode-driven shop floor use, and permissions.

Option 4: Custom-built core system

A tailored system covering exactly your flow: enquiry to quote to order to production to dispatch to invoice, with inventory underneath. You own it, it matches how you actually work, and it charges no per-user rent. The tradeoffs are upfront cost and the need for a competent partner to build and maintain it.

Most successful small factories end up with a pragmatic mix: accounting stays in standard software, and the operational core is either a well-fitting SME platform or a custom system.

What Features You Actually Need

Whatever route you choose, a small factory's operational core must handle:

  • Sales orders and order status visible to everyone who talks to customers
  • Bills of materials with revisions, even simple ones
  • Inventory across raw material, WIP, and finished goods, with minimum stock alerts
  • Purchase orders linked to requirements, so buying stops being guesswork
  • Production tracking at whatever granularity you can sustain, even if it is just daily quantities per stage
  • Dispatch and invoicing connected to orders, with your local tax compliance handled
  • Reports without effort: pending orders, stock position, monthly production, receivables

Be suspicious of anything on a feature list you cannot connect to a weekly pain.

Typical market ranges for a small factory:

  • SME manufacturing platforms: commonly a few hundred to a couple of thousand dollars per month depending on users and modules
  • Low-code platform builds: tool subscriptions are modest, but expect meaningful setup effort, either internal time or a consultant engagement in the thousands to tens of thousands
  • Custom operational core: a focused build typically lands in the mid-five-figure range, sometimes lower for a narrow scope, with ongoing support and hosting a small fraction of that annually
  • Full ERP suites for comparison: implementations for even small companies routinely run into six figures once licenses, consultants, and internal time are honestly counted

Choose a subscription platform when your process is close to standard, you need something running in weeks, and monthly costs fit comfortably.

  • Your workflow has structural quirks that fight every template you try
  • You need deep fit with local compliance, languages, or industry-specific documents
  • Headcount growth makes per-user pricing look like a tax on scaling
  • You want a foundation you can extend later with automation, AI assistants, or analytics, without waiting on a vendor roadmap

And honestly: stay on spreadsheets a little longer if your processes change monthly. Software freezes process; freeze a good one.

The return on replacing spreadsheet chaos is rarely one dramatic number. It accumulates: hours of clerical rework eliminated weekly, stockouts and emergency purchases avoided, orders that stop slipping through cracks, and decisions made on today's data instead of last month's. A useful exercise before buying anything is to tally one ordinary week of chaos costs, expedited freight, overtime caused by missing material, time spent compiling reports. Annualize that number.
