  5. Invoicing. The completed work order converts into an invoice automatically, ideally with payment collected on the spot.
  6. Follow-up. Review requests, maintenance reminders, and warranty tracking run in the background.

What features you actually need

Vendors love long feature lists. In practice, a small to mid-sized operation needs a shorter set done well:

  • Drag-and-drop schedule board with a day and week view per technician.
  • Mobile app for techs that works offline, because basements and rural sites have no signal.
  • Customer and job history searchable by address, not just by name, since properties change hands.
  • Photo and signature capture attached to the work order for dispute protection.
  • Quote to invoice conversion with line-item pricing pulled from a price book.
  • Payment collection in the field via card or payment link.
  • Basic reporting: jobs per tech per day, revenue per job type, average time to invoice.

Features you can usually defer: route optimization across dozens of vehicles, inventory management with barcode scanning, and customer portals. They matter at scale, but they are not what breaks first.

Typical cost ranges

Off-the-shelf FSM platforms typically price per user per month. As a rough market picture, entry-level tools tend to land somewhere around 30 to 60 US dollars per user monthly, while the established mid-market platforms often run 100 to 300 dollars per user monthly once you add the modules you actually need. A common middle path: run an off-the-shelf tool for a year, document every workaround your team invents, and use that list as the specification for a custom build.

The math is usually not subtle. If better dispatch adds one extra completed job per tech per week, a ten-tech company at 250 dollars average ticket adds roughly 130,000 dollars in annual revenue.
