There is a moment in every growing trucking company's life when the dispatcher becomes the bottleneck. Not because they are slow. Usually they are astonishingly fast, holding driver locations, load details, customer quirks, and tomorrow's plan in their head while working two phones. The problem is that the whole operation now runs through one person's memory and a whiteboard, and the company cannot grow past what that memory can hold.

The symptoms are familiar. A second dispatcher joins and half the knowledge does not transfer. A load gets double-covered because two people worked from different versions of the truth. A driver sits empty for six hours because the load that would have fit their position lived in an unread email. Detention charges go unbilled because nobody logged arrival times. Each incident is small; together they are the margin.

What dispatch software has to do

At its core, dispatch software manages the load lifecycle: quoted, booked, assigned, dispatched, in transit, delivered, invoiced, paid. Around that spine, the essential capabilities:

The board. A live view of every load and every truck, filterable by status, lane, and date. This replaces the whiteboard and must be faster than the whiteboard, or dispatchers will keep the whiteboard.

Assignment intelligence. At minimum, showing which trucks are positioned and legal (hours available) for a load. Full optimization is optional; eliminating the "I forgot truck 14 was empty in Nagpur" class of error is not.

Driver communication. Load details, rate confirmations, and stop information pushed to a driver app, with status updates and document photos (bills of lading, lumper receipts) flowing back. Every load that completes without a phone call is dispatcher capacity reclaimed.

Document flow. The proof-of-delivery photo taken at the dock should become part of the invoice packet automatically. Billing delay in trucking is frequently just document-chasing delay, and it directly stretches cash conversion.

Customer connection. Automated status updates and a simple tracking view for shippers. Check calls consume dispatcher hours and annoy everyone involved.

Use cases that pay for the system

  • Detention billing. Timestamped arrivals and departures at every stop turn detention from an argument into an invoice line. Many fleets fund the software from recovered detention alone.
  • Deadhead reduction. Visibility of upcoming empty positions against available freight cuts empty miles, and empty miles commonly sit in the 15 to 20 percent range for fleets running on memory and habit.
  • Settlement accuracy. Driver pay computed from actual load data instead of a Friday reconstruction, which reduces both overpayment and the trust-corroding underpayment disputes.
  • Cash flow. Same-day invoicing with complete document packets, instead of the industry-typical multi-day lag while paperwork trickles in.

What features you actually need

A pragmatic scope for a growing carrier:

  1. Load management with the full lifecycle and rate details
  2. The dispatch board, built with dispatcher input from the first sketch
  3. Driver mobile app: loads, stops, statuses, document capture, offline tolerance
  4. Automated arrival and departure timestamps via geofencing
  5. Invoice packet generation and export to your accounting system (integrate, do not rebuild accounting)
  6. Basic customer notifications and a tracking link
  7. Reports that answer money questions: revenue per truck per week, empty mile percentage, aging unbilled loads

Leave for later: load board integrations, factoring workflows, full ELD integration beyond hours visibility, fuel tax reporting, and multi-terminal support. Each is real; none should delay a v1.

If you also broker freight, be explicit about it in scoping: carrier management, margin tracking, and carrier payables make brokerage dispatch a materially different product than fleet dispatch, even though vendors blur the two.

Typical costs

As market-typical ranges rather than quotes:

  • Off-the-shelf dispatch and TMS products for small and mid-sized fleets commonly price per truck or per user, often landing between 30 and 100 USD per truck per month depending on depth. Setup and training fees vary widely.
  • Custom dispatch platform: a focused v1 as scoped above typically costs 60,000 to 140,000 USD with a senior team over 4 to 6 months. Extending into optimization, brokerage, and deep integrations can carry a platform toward 200,000 to 350,000 USD over a couple of years.
  • Run costs: hosting, maps and geocoding APIs, SMS, and a maintenance budget in the usual 15 to 25 percent of build cost annually.

Build vs buy

For most fleets under roughly 30 trucks with conventional operations, buy. The off-the-shelf market is crowded and competent, and your constraint is adoption, not differentiation.

Custom starts making sense when:

  • Your operation has structural quirks (specialized equipment, dedicated contract flows, mixed fleet-and-broker models, region-specific compliance) that force constant workarounds in packaged tools
  • You are scaling past 50 to 100 trucks and per-truck fees compound into real money against a fixed-cost build
  • Dispatch efficiency is your competitive story, and you want AI-assisted load matching and exception handling tuned to your lanes rather than a vendor's average customer
  • You need your dispatch data flowing freely into your own pricing, settlement, and customer systems without per-integration fees

ROI framing

Score the project against numbers you already feel: unbilled detention per month, empty mile percentage, days from delivery to invoice, loads handled per dispatcher, and settlement disputes per pay cycle. Improvements of even a few percentage points on empty miles, or a few days on billing lag, are typically worth more than the software costs. The discipline is measuring the baseline before the build, so the ROI conversation a year later is arithmetic instead of argument.
